EASY NOTES is the ideal solution for linking EASY ENTERPRISE to an IBM® Lotus Notes®/Domino® environment. It archives IBM Lotus Notes documents and attachments in a revision-proof and legally compliant manner directly from IBM Lotus Notes.
EASY NOTES also provides the option of assigning e-mail items process-related to a process or activity. This ensures important e-mail messages are not lost and can be quickly made available to those users who need the information. Business processes can also be triggered directly from the IBM Lotus Notes client. EASY NOTES allows retrieval of archived documents directly from the Notes client, and users do not need to quit their traditional work environment. The software’s capability includes handling all Notes documents. For example, the load of the Notes database can be relieved of data not permanently used. This makes the database organized, clean and fast. Archived documents are available enterprise-wide, and can also be used by other systems.

EASY NOTES perfectly integrates with existing IBM Lotus Notes/Domino environments, both on the server and user side. EASY NOTES stores mail items and documents from any other applications in a revision-proof manner, giving the user maximum transparency. While archiving the data, a reference only the size of a byte is left in the source database; this reference is displayed to the user as a traditional Notes document.
Archiving not only ensures legal requirements are met, it also ensures more space is available on the IBM Lotus Domino servers. This makes administrative processes and maintenance work less time-consuming.
Archiving in an IBM Lotus Notes/Domino environment provides a variety of configuration options. The archiving operation can be performed to freely definable criteria, taking the specific IBM Lotus Notes structures into consideration. Thanks to its formula language, this allows you to define your own archive rules without any assistance. Archiving mail items and other documents is either initiated manually by the user, or performed automatically in the background directly on the IBM Lotus Domino Server.
ENTERPRISE-WIDE TRANSPARENCY
EASY NOTES Workspace guarantees convenient access to all non-IBM® Lotus Notes® information that has been archived through other deployed EASY applications. Moreover, the option for storing business process related Notes documents directly as TIFF or PDF document in the appropriate archives is available to the IBM® Lotus Notes® user. Thus, the corresponding information from the IBM® Domino®/Lotus Notes® environment is made available across applications throughout the company.
EASY NOTES Workspace provides a fully-fledged client for convenient access to EASY ENTERPRISE. This enables users to search and edit documents, as well as create new documents, in the archive directly from the IBM® Lotus Notes® interface. EASY NOTES Workspace facilitates conveniently managing IBM® Lotus Notes® documents along with information from non-Notes sources (e.g. documents from SAP systems) in customer and transaction files. Of course, IBM® Lotus Notes® documents such as order confirmations sent via e-mail, invoices or product data sheets can be stored in a project or customer file. Here EASY NOTES provides perfect support for users so that mail messages, in addition to convenient storage and search, are also assigned to a transaction in terms of contents. Concurrent search for both active and already archived data sets is a significant adjunct to the previously known IBM® Lotus Notes® filter mechanisms.
STATE OF THE ART
The introduction of Eclipse as a client platform for IBM® Lotus Notes® has made Java development under IBM® Lotus Domino® increasingly more important. From version 3.0 onwards, EASY NOTES already uses these current standards. Users of IBM® Lotus Notes® 8.5 or higher can use the plug-ins that come with EASY NOTES, such as the EASY NOTES Sidebar. So this helps them configure their work environment even more conveniently and efficiently.
MOBILITY WITH EASY NOTES
Considering local replication policies, EASY NOTES offline synchronization allows each user to synchronize archived e-mail messages cyclically and to specific criteria, using the EASY ENTERPRISE Server. Thus archived documents, even without existing network connections, are available anytime. On no account need users do without the traditional comfort of the full text search engine. All synchronized e-mails and their attachments can also be searched offline.
Supported by IBM® Lotus® iNotes™, direct access to archived documents is now available to EASY NOTES users also when using the browser-based IBM® Lotus Notes® version. In case Domino Web Access 8.0.2 is installed on the server side, even iPhone owners can now access their mailbox and archived documents.
CONNECTED THROUGHOUT THE WORLD
In combination with EASY NOTES, the IBM Lotus Notes client can also search in enterprise-wide archives. This turns the IBM Lotus Notes client into a full-fledged enterprise content management (ECM) application.
The client, intended for daily business, can quickly and efficiently use all archived data without requiring the user to open other clients. Whether the data originates from IBM Lotus Notes or other systems, e.g. SAP, is irrelevant. The EASY NOTES functions can be completely integrated with proprietary applications.
